Terms & Conditions

1. Health & Safety

• Health & safety is our top priority. All clients and visitors will be made aware of relevant safety requirements during their initial visit.
• You must follow all instructions from our staff—these are for your safety, your pet’s safety, and the safety of others.
• Please alert us before your appointment if you, your pet, or anyone in your party has a health condition that may affect others’ health or welfare (e.g., COVID-19).

2. Veterinary Referral & Vaccinations

• All dogs must have a current veterinary referral before starting treatment.
• All dogs must have up-to-date vaccinations. We may request to see vaccination records at any time.
• Accompanying dogs should also be fully vaccinated.

3. Payment & Cancellations

• Payment is due at the time of each session unless otherwise agreed in writing.
• Sessions cancelled or missed with less than 24 hours’ notice will be charged in full.
• If your pet is unwell, in season, or has a contagious condition, please cancel your appointment with at least 24 hours’ notice.
• Insurance claims: If you intend to claim through pet insurance, payment is still required up front unless otherwise agreed; we will provide receipts and clinical notes to support your claim.

4. Owner Responsibilities

• Inform us of any changes in your dog’s health or medication before each session.
• Ensure your dog has not eaten for at least 3 hours before a session.
• Ensure your dog has toileted before arrival (extra charges apply for pool/treadmill fouling due to cleaning and closure).
• Keep your dog on a lead and under control at all times.
• Wear suitable clothing and footwear for the clinic environment.
• Clean up after your dog using bins provided.

5. Children & Visitors

• Children must be supervised by an adult at all times and follow staff instructions.
• For safety, children should not run or enter treatment areas without permission.

6. Risk & Liability

• While we take every care in treatment and maintenance of our facilities, all animals are treated at their owner’s risk.
• Butterwick Animal Rehab Clinic is not liable for loss or damage to vehicles or personal property on the premises.
• You are responsible for your dog’s behaviour and any damage caused by your dog.

7. Refusal of Treatment

• We reserve the right to refuse treatment to any animal or client at our discretion, including for non-compliance with these terms.

8. Photography & Social Media

• We may use still or video images from sessions for promotional purposes (e.g., website, Facebook, Instagram, educational materials). If you do not wish to have images of your dog used, please let us know in writing.
• Owners may request permission to take photographs; video permission is granted on a case-by-case basis.

9. Data Protection & Privacy

• We comply with GDPR and all relevant data protection laws. Your personal data is handled according to our Privacy Policy.
• Clinical notes and client data are stored securely and are only shared with your consent or as required by law (e.g., with your vet or insurer).

• These Terms & Conditions may be updated from time to time. The latest version is always available on our website.
